Security, Privacy and Trust

Customs work involves commercially sensitive invoices, packing lists and transport documents. Filing in-house keeps that information with your own team, in your own account. This page covers how our policies describe data handling, where you have full control and how our team supports your security and procurement review.

  • Privacy policy
  • Shared responsibility
  • Procurement questions
  • Scoped review
  • Keep your own account secureA short checklist for your team: individual logins, current users and current authorisations.
  • A named person confirms each valueWhere documents disagree, both values sit side by side and your reviewer picks the right one.
  • Find where your questions are answeredSee which policy covers each topic, and ask us for anything that is on request.

In a nutshell

Customs Declarations UK is software that lets your own team prepare and submit declarations directly. Your people review the output and decide everything that is filed.

Our privacy policy and terms of use describe how data is handled. Access is protected with multi-factor authentication, and the review points in AI-assisted preparation keep a person in charge of every value. This page also sets out what to raise during procurement.

Where your organisation needs technical or contractual detail, our team works through it with you, scoped to the services you plan to use.

Start with the data

Know what information the platform handles.

Our privacy policy is the starting point for any review. It describes the information involved in preparing and submitting customs filings and how it may be shared, so your data-protection lead can see the picture before you register.

Policy scope

What the policy covers

The privacy policy addresses the categories of information that appear in everyday customs work, so you know what sits in your account.

  • Account information for the people who use the platform
  • Uploaded shipment documents
  • Filing records
  • Information generated through document processing
Sharing

Who information may reach

Customs filing involves other parties, such as the authorities you file with. The policy describes the relevant arrangements in plain terms.

  • Sharing with authorities where a filing requires it
  • Service providers that support the platform
  • International-transfer arrangements
  • Retention arrangements
Your requirements

When you need more detail

Some organisations need more than a policy. Our team works through your due diligence with you, scoped to your intended use.

  • Contractual terms specific to your organisation
  • Technical questions from your security team
  • Evidence your procurement process requires
Shared responsibility

Who is responsible for what.

Here is how responsibilities are shared between our platform and your people, so you know who does what and where to turn for help.

What we provide and answer for

  • Policies
  • Direct discussion

We provide the software for preparing and submitting customs declarations, protect sign-in with multi-factor authentication and describe how data is handled in our published policies. For requirements beyond those policies, our UK-based team discusses what your organisation needs.

Questions for procurement

Six areas to raise in procurement.

Use these review areas to structure your conversation with our team. We will work through each one with you, with answers specific to the services you plan to use.

Illustrative example

A deliberate review point in AI-assisted preparation.

AI document processing saves your team from reading and retyping documents, and it keeps a person in charge. This example shows where your operator steps in and decides.

Document review

Check what the documents say before the draft

Invoices, packing lists and transport documents do not always agree. Your reviewer sees the differing values side by side, picks the correct one and confirms it. The result is a clear record of what came from a source document and what a person decided.

  • Compare source values from each document
  • Settle the correct information where values differ
  • Confirm what belongs in the filing before the draft is built
Start your review

From question to answer.

Four steps to run your security and procurement review with us, from the first question to the agreed scope. A short, specific request gets the fastest answer.

  1. Step 1: Read the policies

Start with the privacy policy and terms of use. Note which of your questions they answer and which you would like to take further with us.

  2. Step 2: List your requirements

Use the six review areas above. Be specific about sign-in, retention, hosting or contractual needs, so our answers are specific too.

  3. Step 3: Contact us

Use the contact page and tell us which services you plan to use. Please keep credentials and confidential documents out of a general enquiry. If something sensitive needs to be shared, we will agree a suitable way with you.

  4. Step 4: Agree the scope

We work through your questions with your security, procurement and customs colleagues and confirm what we can provide, so you can sign off and start filing. Your account is activated instantly once you register.

Trust questions

Questions about security and privacy.

Is CDUK ISO certified?

Ask us for the certification and assurance documentation relevant to your review and we will tell you what we can provide. If you tell us the standard you are looking for, we will answer plainly.

Are my documents used to train AI models?

Ask us for confirmation of the applicable processing arrangements and provider terms, and we will give you a direct answer for your use. See AI document processing for how the feature works. Your operators confirm every value before a draft is prepared.

Is all information hosted in the UK?

Our current privacy policy describes data handling. If your organisation requires specific hosting and processing details, ask our team and we will confirm them for your review.

How long are records kept?

Retention depends on the type of record, our policy and any contractual requirements. Tell us your requirement and our team will address it for your account.

Does the platform support single sign-on or particular permission models?

Sign-in is protected with multi-factor authentication, and workflow and team collaboration let you organise who prepares, reviews and submits. If your procurement depends on a particular sign-in method or permission model, tell us and we will confirm it against your need.

Who is responsible for the content of a declaration?

Your business. Your people review the prepared data and submit it directly, with built-in checks and our support behind you. See improving customs compliance.

What should I send when I report a problem or ask for support?

Send a redacted example where possible, with the service, the step and what you expected. Please leave out unrelated personal or commercial information. Our UK-based support team will tell you if they need anything further.

Where can I find terms and pricing?

The terms of use set out the general terms. Pricing is pay as you go with no monthly fee and no minimum volume, plus custom subscription plans with volume discounts. See the pricing page. Maximum prices per declaration are published.
